Email Communications Policy

This policy explains who receives Ringnity email, the types of messages we send, and the standards we apply to consent, opt-out requests, bounces, and complaints.

1. Emails Ringnity Sends

Ringnity may send transactional and account-related emails, including account verification, one-time passwords (OTP), password resets, security alerts, billing and invoice notifications, service updates, call or conversation notifications, and customer support responses.

These messages support services that a recipient has registered for, requested, administers, or is authorized to use.

2. Authorized Recipients

Email is sent only to registered users; invited administrators or agents; customers who request a service; and recipients who have an existing business relationship with a Ringnity customer or have provided appropriate consent.

Customers using Ringnity communication features are responsible for providing accurate recipient data and having the notices, authorization, or consent required for their communications.

3. Prohibited List Practices

Ringnity does not buy or rent mailing lists, scrape email addresses, or use third-party lists for unsolicited campaigns.

Ringnity customers must not upload or use purchased, rented, scraped, or otherwise unauthorized recipient lists through the service.

4. Marketing Email

If Ringnity sends marketing email, it is sent only with appropriate consent or another valid permission, clearly identifies the sender, and includes an unsubscribe link.

Unsubscribe requests are processed promptly, and opted-out recipients are excluded from subsequent marketing campaigns except where a transactional or legally required message remains necessary.

5. Bounces, Complaints, and Suppression

Ringnity policy requires hard-bounced addresses to be stopped from future delivery. Complaints are reviewed and the associated addresses are suppressed. Invalid, blocked, or otherwise high-risk addresses must not be retried without a valid reason and corrective action.

Ringnity uses provider feedback, suppression controls, and delivery monitoring appropriate to each email channel to protect recipients and maintain deliverability.

6. Questions and Reports

Questions, unsubscribe issues, or suspected email abuse may be reported to support@ringnity.com. Please include enough information for the team to identify and investigate the message.
